Facilitating events with AI

How can AI be used to capture every idea and comment generated during an event? How can AI become an integral part of event content without disrupting the flow or feeling like a forced add-on?

Conversation is our most natural way to share thoughts. In corporate events, we often want participants to have the opportunity to voice their opinions and share their perspectives. However, meaningful conversations aren’t always possible with large groups, say 100 people at once.


The trusty post-it note can help, but many find it a bit clumsy and outdated. We can also collect thoughts using mobile phones, where participants can easily submit their opinions and vote. This is a great method too.


But what if we just want to have a conversation? In this case, we can split into smaller groups to chat. The downside is that the insights remain confined to that small group. How can we share everything with everyone?


We decided to tackle a challenge that has bothered us for a long time: How can we use the right technology and AI to capture every idea and comment made at an event? How can AI become a seamless part of the event content, without disrupting the flow or feeling like a gimmick?


The process is actually quite simple:


Before the event:


To ensure a successful outcome, we need to define the goals of the conversation and what we want to produce from it. Is it about identifying challenges, solving problems, creating shared understanding, or producing high-quality content? The process and methods must always be carefully planned to ensure that the time is used efficiently. Systematic facilitation during discussions helps maintain the right focus and ensures a high-quality outcome.


In each group room or table, we install equipment that understands the surrounding conversation. This is not about recording; speech is not saved. 


During the event:


  1. Participants are informed about the use of AI and reassured that their comments will not be individually identified or recorded.

  2. The text generated from the discussions is directed to a central place where it can be filtered through various queries. “What was said about creativity at table one?” “What was table two’s view on changing customer needs?”

  3. These findings can be shared with the event hosts, projected on a screen, or sent back to the tables for further discussion.

  4. The conversation can then continue on the most important themes that emerge.


After the event:


A rich content package can be produced for participants, summarizing all discussions and highlighting the most valuable insights. The final product is only limited by imagination; it can range from factual to lighter. Why not a song performed by a deepfake CEO, a short video, or a traditional, content-heavy white paper?
